Understanding Page Layout
Why Page Layout Matters
Page layout is the foundation of document design. The right margins, spacing, and structure make your document inviting to read rather than overwhelming.
Key Layout Concepts
Margins
Margins are the white space around the edges of your page:- Normal (1 inch) — Standard for most business documents
- Narrow (0.5 inch) — When you need more space for content
- Wide (1.25 inch sides) — For documents that will be bound
Good margins give the reader's eyes a resting point and make the page feel organized.
Alignment and Readability
- Left-aligned text (the default) is easiest to read for body text
- Centered text works for titles and headings
- Justified text (aligned on both sides) looks formal but can create uneven spacing
- Right-aligned text is rare — used for dates, signatures, or financial figures
Tables for Organized Data
When you have structured data (schedules, budgets, comparisons), a table is almost always better than listing items in paragraphs. Tables:- Align data in clean columns
- Make comparisons easy
- Look professional and polished
- Are scannable at a glance
Professional Document Checklist
Before finalizing any document, check:- ✅ Consistent margins throughout
- ✅ Headings create a clear structure
- ✅ Body text is left-aligned
- ✅ Data is in tables (not paragraphs)
- ✅ No excessive blank lines or manual spacing
In the next exercise, you'll create a professional meeting agenda with a formatted table.
