The Art of Document Cleanup
Real-World Documents Are Messy
In professional settings, you'll often receive documents that are poorly formatted. Someone used bold text instead of headings, added blank lines for spacing, or mixed formatting styles. Your job is to clean them up.
Common Formatting Problems
1. Manual Bold Instead of Styles
Problem: Text made bold to look like a heading, but it's still a regular paragraph.Why it matters:
- Won't appear in Table of Contents
- Can't be navigated with the outline
- Inconsistent sizing and spacing
Fix: Apply proper heading styles (H1, H2, H3)
2. Empty Paragraphs for Spacing
Problem: Multiple blank lines added between paragraphs to create visual space.Why it matters:
- Spacing breaks when fonts or sizes change
- Inconsistent gaps throughout the document
- Extra blank pages at the end
Fix: Delete empty paragraphs and use "Spacing After" on real paragraphs
3. No Lists
Problem: Items that should be in a list are written as separate paragraphs.Why it matters:
- Hard to scan and compare items
- No visual grouping
- Looks amateurish
Fix: Select the items and convert to bulleted or numbered list
4. Inconsistent Formatting
Problem: Different sections use different formatting approaches.Fix: Apply consistent styles throughout
